Position Overview: The Sales Operations Assistant will be responsible for supporting the daily operations of the sales team by managing administrative tasks, maintaining CRM data, coordinating interdepartmental communications, and assisting with order and invoice processing. This role is crucial in ensuring the sales process runs efficiently from lead generation to order fulfillment. The ideal candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced, team-driven environment.

Key Responsibilities:

Sales Support & Coordination

  • Assist sales reps with quotes, proposals, contracts, and order processing.
  • Track customer inquiries, follow-ups, and complaints to ensure timely resolution.
  • Schedule client meetings, product demos, and conference calls.
  • Coordinate with internal departments (marketing, finance, logistics) to streamline operations.

CRM & Data Management

  • Maintain and update customer records in CRM and task management systems (e.g., Deacom, Odoo).
  • Ensure data accuracy for contacts, pipelines, and opportunities.
  • Generate and distribute reports and dashboards to monitor performance.

Order & Invoice Processing

  • Support order entry, tracking, and fulfillment processes.
  • Assist in invoice generation and coordinate with finance to resolve billing issues.
  • Monitor payment statuses and flag overdue accounts.

Reporting & Analysis

  • Compile regular sales reports (weekly, monthly, quarterly).
  • Track key sales metrics, including lead conversion, sales cycle times, and win/loss ratios.
  • Provide data-driven insights to support sales strategy and forecasting.

Administrative Support

  • Organize and maintain digital files and sales documentation.
  • Manage calendars, travel logistics, and expense reports for sales leadership.
  • Prepare presentations, reports, and meeting materials as needed.

Process Improvement

  • Identify inefficiencies in workflows and recommend improvements.
  • Assist in preparing training materials and onboarding resources for new sales team members.

Tool and System Support

  • Assist with onboarding of sales tools and software.
  • Serve as the first point of contact for technical issues related to CRM and internal systems.

Qualifications:

  • 1–3 years of experience in sales support, sales operations, or administrative roles.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Excel and CRM platforms (experience with Deacom or Odoo is a plus).
  • Excellent written and verbal communication skills.
  • High attention to detail with a proactive and problem-solving mindset.
  • Ability to work collaboratively in a team-oriented environment.
